Privacy Policy

Introduction

Signal Desk (Pty) Ltd ("Signal Desk", "we", "us") is committed to protecting your privacy in accordance with the Protection of Personal Information Act, 4 of 2013 (POPIA). This policy explains what personal information we collect, how we use it, and how we protect it.

Information We Collect

We collect information you provide when signing up: your name, business name, phone number, email address, and business details. We also collect conversation logs from your AI receptionist to provide reporting and improve the service. We collect usage data including pages visited and interactions with our website.

How We Use Your Information

Your information is used to set up and operate your Signal Desk AI receptionist, to send you reports and notifications, and to improve the service. We do not sell your personal information to third parties.

Data Storage

Your data is stored securely on Supabase infrastructure hosted in the United States. By using Signal Desk, you consent to the transfer of your personal information to servers outside South Africa, in accordance with POPIA section 72. Conversation logs are retained for 90 days by default.

WhatsApp and Communications

Signal Desk operates on the WhatsApp Business Platform via 360dialog and Meta. Messages processed by your AI receptionist are handled in accordance with Meta's and 360dialog's privacy policies. Some services use Twilio for voice and SMS.

Analytics

We use Google Analytics to understand how visitors use our website. Analytics are only activated after you have given your consent via the cookie banner. You may withdraw consent at any time by clearing your browser storage.

Your Rights Under POPIA

  • You have the right to access your personal information held by us.
  • You have the right to request correction or deletion of your personal information.
  • You have the right to object to the processing of your personal information.
  • You have the right to lodge a complaint with the Information Regulator of South Africa at inforeg.org.za.
  • To exercise any of these rights, submit a Data Subject Access Request (DSAR) to: hello@signaldesk.co.za
  • We will respond to DSAR requests within 30 days.

Data Breach Notification

In the event of a data breach that is likely to result in harm to you, we will notify the Information Regulator and affected data subjects within 72 hours of becoming aware of the breach, as required by POPIA.
